Restrict Users From Using Cognos Groups And Roles As Email Recipients

Currently, any user can setup a Cognos report, subscription, or schedule to email any Cognos group or role. This means any Cognos group or role can be used as an email DL. For Cognos Admins and Focals, this is a very nice feature. However, end users can unintentionally abuse this functionality, causing issues.


We recently upgraded from Cognos 10 to Cognos 11, and faced this situation. One of our users was trying to share a report link to a coworker. However, they got confused by the new v11 UI and accidentally selected a Cognos role as the recipient. This particular role had 800+ members, so dealing with all the replies was bad enough for this user. However, after Cognos went through a normal maintenance recycle, the email was resent to all those users. We discovered that the initial email got hung on our mail server, due to the number of recipients (so the email was only sent to x number of users, not all 800+). This resulted in Cognos not receiving a "error" or "complete" message from the mail server, and therefore never clearing the email task from the NC tables. This cycle would have repeated indefinitely, had we not manually cleared the NC tables during the next recycle.


Currently, email recipients can be restricted individually, based on a group/role membership (see technotes below). But this is actually more restrictive than what we want. In our case, we don't care who users email reports to; we just don't want them emailing entire groups/roles.

Our proposed solution is to have the ability to disable Cognos groups or roles being added as email recipients. This could be set at the global level or the role level.
